7.2. Fact Recording

Data are recorded as facts in indicators on ESGManage. For each tracked indictor, users will see the sections Indicator Details, Record Facts, and Request Recording History.

  • Indicator Details – lists details of the indicator.

  • Record Facts – is where users enter facts and upload evidence.

  • Request Recording History – is where users can view all history of changes to recorded facts.

Users may select the desired year to view its corresponding recording periods, or "Display all years" to view data across all the years.

To record a fact, click on an cell for specified period, enter the value and click the tick button.

If a user wishes to clear the recorded fact, they can do so by first clicking on the cell with the wrong fact, then clicking on the trash bin icon in the menu that pops up. A confirmation modal pops up for the user to confirm their actions and they click confirm after reviewing that they have cleared the erroneous data. The fact is now cleared.

The action of clearing the recorded fact will be logged in recording history. Users can click on the "Request" button under the recording history tab to view the log.

7.2.1 Evidence Attachments

To attach evidences and supporting documents, click on the triple dots, click 'Choose file' to upload the file. Add a file name, an optional description and click record value. Users can upload multiple files if required.

Once uploaded, an attachment icon appears right next to the fact. This helps us to quickly glance through the fact recording table to see which facts have attachments.

Clicking on the attachment icon reveals details regarding the attachment and a download link to download the file to the desktop.

7.3. Request Recording History

Users can review activity logs to ensure traceability and transparency. This can be done by first choosing the reporting period users would like to review, and then pressing the “Request” button.

7.4 Update Recording Frequency

User can update recording frequency for specific years. This would be helpful if user wants to record data using different frequencies for different years. By clicking on the "Pencil" icon next to recording frequency, user can change it to a new recording frequency.

After clicking on the edit icon, user will be redirected to a pop up. This is where user can specify recording frequency for selected year.

For indicators that are setup with calculations, aggregations or subtotals, their recording frequencies cannot be modified. If required, users will need to track new indicators with different frequency.

7.5 Editing Units

In the event that the wrong unit was chosen during configuration, the unit can still be edited to the right one during data recording.

Click on the edit icon button beside the unit label to initiate the change of units

In the subsequent modal, select the appropriate unit to change to.

Users will also be able to view a list of similar indicators which units will be changed as well. If there are existing facts, users will be prompted with a warning that the values will not be automatically converted.
